PAIX Privacy Policy

PAIX Holding B.V., PAIX B.V. and its group affiliate companies (hereafter jointly referred to as “PAIX”, and “we”) are committed to protecting the rights and freedoms of data subjects, and safely and securely processing their personal data in accordance with all of our legal obligations.

We control certain personal data, including sensitive data, about our customers, employees, job applicants, suppliers, and other individuals for our business purposes.

PAIX is responsible for, and must be able to demonstrate compliance with, the data protection principles set out in the GDPR. All personal data must be:

  • Processed lawfully, fairly and in a transparent manner in relation to the data subject;

All data must be processed legally, and in a way that is fair and transparent. The data subject will be clearly informed about how their data is being processed at the time it is being captured and who their data is shared with. Except where necessary to provide services, the data subject’s data will not be shared with or disclosed to a third party other than to a party contracted to PAIX and operating on its behalf.

  • Collected for specified, explicit and legitimate purposes and not further processed in a manner that is incompatible with those purposes;

PAIX will only collect data from data subjects for a specific purpose, and this purpose will be made clear to the data subject at the time the data is collected.

Once data is collected for a specific purpose, it will not be processed for any other purpose without the data subject’s prior consent or without another valid legal ground.

  • Adequate, relevant and limited to what is necessary in relation to the purposes for which it is processed;

PAIX will ensure that any data obtained from the data subject will be adequate and relevant to the purpose(s) for which it is being processed. No unnecessary or additional data will be processed if the original purpose has been satisfied.

  • Accurate and where necessary, kept up to date;

Every effort will be made to ensure that all data collected from data subjects is accurate. Data held on the PAIX systems will be updated periodically to ensure any inaccuracies are rectified. Where PAIX is made aware of any inaccurate data by the data subject, we will rectify this immediately. PAIX will ensure that any out-of-date data be destroyed or deleted.

  • Kept in a form which permits identification of data subjects for no longer than necessary for the purposes for which the personal data is processed;

Data will be retained for no longer than is necessary in light of the purposes for which that data was originally collected and processed. Any unsolicited data received by PAIX employees, via email or other means, will be deleted/destroyed immediately.

  • Processed in a manner that ensures appropriate security of the personal data;

All data will be processed safely and securely, to prevent unlawful or unauthorized processing, accidental or unlawful destruction, or accidental loss or damage to the data.

PAIX will conduct a periodic security review of its IT systems to ensure that the appropriate measures are in place and adhered to.

Purposes:

  • Administration and management of relationship
  • To allow access to or use of our Customer Portal
  • For performance of our contracted services, including provisioning, implementation and any other operational purposes
  • For administrative and invoicing purposes, including collection of debts
  • To maintain up to date information into our systems
  • For select event marketing purposes
  • To deal with possible complaints
  • To establish, defend and exercise our legal position

Personal Data: Supplier & Service Provider contacts

Contact details (name, company, business email address, business and/or private mobile number)
Purposes:

  • Administration and management of relationship
  • For performance of contracted services, including d ay-to-day operational purposes
  • For administrative purposes, including payment of invoices
  • To maintain up to date contact information into our systems
  • To deal with possible complaints
  • To establish, defend and exercise our legal position

Personal Data: Candidates Recruitment

  • Basic information to be used in the recruitment procedure - curriculum vitae and motivation letter
